The goal is to ensure employee travel is safe and organized according to company policy. Your job is also to ensure that project / department milestones / goals are met and adhering to approved budgets.

Responsibilities

Most of your responsibilities are (but not limited to) :

  • Administers, operate, create and monitor the travel policies,
  • guidelines, and budget to deliver efficient travel arrangements.

  • Prepares periodic budget and utilization reports.
  • Provides guidance to employees about travel requirements including visa and special conditions.
  • Manages travel staff in the day-to-day performance of their jobs.
  • Provides traveling assistance (Selina Staff) and manages : Online Booking Tool (OBT), Expense platform, Selina for Uber, Airbnb for Work, Selina Portal (Travel Desk).
  • Ensures that project / department milestones / goals are met and
  • adhering to approved budgets.

  • Extensive knowledge of department processes.
  • Manage relationships with travel agencies and vendors.
  • Negotiate contracts or rates with travel service providers
  • Provide and advise on travel documents, regulations etc.
  • Handle credit card programs and charges.
  • Monthly process of Travel & Expenses reports for Division Heads.
  • Ensure compliance in all aspects of travel procedures.
  • Drive continuous improvement of travel programs.
  • Requirements (language, years of experience, area of experience, specific knowledge)

    Qualified candidates must be able to demonstrate :

  • Bachelor’s degree in business administration or similar fields.
  • Training in travel and tourism is a plus.
  • Requires 5 years’ experience in Administration, Logistics or related area of expertise.
  • Proven experience in travel.
  • 1 to 3 years of supervisory experience required.
  • Proficient in Microsoft Office, strong dominion of Excel.
  • Knowledge of international travel regulations, customs and
  • Currencies.

  • Knowledge of T&E reporting and processing.
  • Working knowledge of MS Office and CTM / GDS solutions.
  • Excellent communication (oral and written) and negotiation
  • Skills.

  • Well-organized and reliable.

  • Goals and KPIs

    1. Set a clear corporate travel policy and enforce it consistently to result in efficiently improving the travel program execution.

    Monitor execution and compliance of Policy. Provide continuous support and training to staff as required.

  • Update as needed the corporate travel policy to adapt to the company’s growing needs by gathering feedback from travelers and departments.
  • Communicate and promote the policy to every Selina member by working with Academy to create on demand training and onboarding session.
  • Create partnerships with suppliers to decrease costs.
  • Continuous monitoring of travel to understand travelers needs and reinforce guidelines compliance.
  • 2. To support Division Heads stay within their allocated, approved budget.

  • Throughestablished travel policy guidelines, raise awareness and supportDivision Heads to stay on track on allocated budget by planning and reporting on expenses.
  • Monitor and control of department travel tendencies by timely preparing monthly reports and forecasts to support Heads stay within provided allotted apportion.
  • 3.Increase the support for travelers by timely response to requests and meet our ASL of 24 hours to complete a regular service request.

  • Travel Coordinators timely responses to open service requests.
  • Withinone working day, send out available options and upon approval, promptly process travel service requests and send out confirmations to travelers.
  • 4. Increase traveler service satisfaction.

  • Throughtraveler’s feedback. (Satisfaction survey).
  • Apply lessons learned and feedback received.
  • 5. Timely endorse of agreements and partnerships to innovate and result insavings for the company business travel program.

  • Promote global travel partnerships and synergies for Selina to achieve best value for money.
  • Strong networking,keep open communication channelswith travel platform partners (Airlines, NexTravel, Webexpenses, Mileage Programs) ensuring that full support is always provided to travelers as well as guaranteeing adherence and compliance to travel guidelines.
