Purpose (Key reason why the organization requires this role. . . why the role exists) :
To provide administrative support to all the L3 Exec members based in Panama with their meetings, large conferences, calendar, purchase orders and expense reports.
Incumbent handles details of a confidential nature, and performs administrative functions based on understanding of functional guidelines and procedures

The Caribbean and Central America (CCA) is one of Diageo’s most diverse and profitable markets. It is the number 1 market in Latin America and the Caribbean (LAC) in terms of profitability, both in absolute and margin terms , and close to number 2 in terms of NSV.
Globally, we are the second most profitable market for Diageo, after North America.
Our route to market is achieved through a combination of 12 major Free Trade Zone & Border customers, and approximately 30 key Distributor Partners.
We also manage several co-packing partnerships throughout the region, and Panama is home to our innovation technology center and principal warehousing operations.
The 37 countries that comprise CCA boast a cumulative population of 77 million people who speak a range of languages including English, Spanish, French, Dutch, Creole, Patois and numerous other native languages.
There is a significant and growing emerging middle class (EMC) population across what are relatively young, but broadly stabilizing, democracies.
Financial Responsibility (What responsibility does the incumbent have for Budget / Financial / Trading Profit / Unit Volume’ Use specific dollars or units.) :
Although this position is not responsible for a budget or profit, the role makes certain that the department doesn’t exceed established budget when negotiating contracts for off-site meetings or purchase order limits
Understands T&E policy and procedures
Key Outputs / Deliverables (Identify the key results produced through listing the primary five to seven duties and responsibilities of your role.) :
Arranges intense agenda of travel itineraries and reservations and overall day to day agenda for L3+ Directors
Responsible for the logistics and coordination of team and regional functional meetings.
Processes travel expenses according to company guidelines, using Concur system.
Coordinates department mailings and composes and types correspondence, files records, etc.
Anticipates and prepares materials needed for conferences, appointments, meetings, telephone calls, etc.
Keeps record of expenses compared to budget.
Supports with logistical issues like (not limited to) : Issues with laptops, corporate credit card issues, embassy / visa requirements for business trips.
Adhoc requests as required
Qualifications and Experience Required
5 years secretarial experience working for top level executives, preferably at multinational companies and managing multi managers.
Experience in organizing events.
Highly proficient in the use of Microsoft Outlook, PowerPoint, Excel, Word. Database management desirable.
Excellent communication (oral and written) in English and Spanish is required.
Self-starter, with experience in managing projects and solving issues
Dynamic, proactive, able to multitask.
Able to work comfortably at a fast-pace, high-performance environment.
Very good organization skills, able to prioritize
Detail oriented, focused on results, very responsible.
Strong team player
Very good interpersonal skills.
Ability to interact effectively and confidently at all levels within the organization and with external contacts.
