Key Accountabilities and Challenges
Operate within and observe all relevant and applicable laws of Panama.
Maintain HSE standards and ensure strict compliance within the area of operation.
Support the Manager and Process Superintendents in effective information gathering and records management for the large Process department employee group.
Ensure efficient and effective management of all administrative functions of the Processing Department office(s).
Assist in the creation, implementation and maintenance of a document control.
Provide multi-faceted general office support to the whole department.
Consistently deliver the main KPI's of efficiency and detail.
Store departmental documents and data files on network 'Processing' drive.
Maintain the 'Processing' network drive to be efficient and logical.
Maintain systems to monitor, track and report common aspects of the Processing Department (ie light vehicles - servicing and refuelling, organisation structure, manning levels, phonebook, training logs, leave rosters, meal lists etc).
Manage and welcome the arrival and visits of new employees to site, including flights, accommodation, inductions, training, transport, office supplies, visit agendas etc.
Liaise with relevant site personnel to organise flights and accommodation both local and international for the Process Department.
Maintain calendars of Managers, Superintendents and relevant Process meeting rooms.
Provide high quality support to the Manager including the provision of information, communications and stakeholder management.
Prepare meeting minutes, meeting notes and internal support materials.
Maintain fully stocked (and accounted) (i) stationery cupboard and (ii) PPE (iii) utility cupboards for the use of the Processing Department.
Maintain Notice and Statistical boards updated at all times.
Compile reports as instructed.
Liaise with peers to share and standardise processes, and bring learnings and improvements back to the Processing Department offices.
Identify and implement tasks to constantly improve the efficiency of the Processing Department office functions.
Liaise with support staff and other non-technical staff in the workplace to maintain efficient maintenance of assets and operational systems.
Control and reduce office costs including the reconciliation and management of departmental petty cash.
Send / receive maintenance request orders, materials request orders and receive / check deliveries.
Raise requisitions in CMMS.
Assist leaders in the booking of training facilities & candidates.
Liaise with the Training Superintendent to coordinate training and records management of all Process Plant training and initiatives.
Ensure accurate and open communication and co-ordination with a range of individuals across the business.
Control, report and reduce operational costs, and ensure cost consideration taken with all decisions.

Skills, Knowledge & Experience
Education Diploma in Administration or related field.Database skills highly regarded.Knowledge of office standards and best practices.
Skills Excellent interpersonal skills.Strong ability to work in a "team" environment.Excellent verbal and written communication skills.
Excellent organisational skills.Meticulous attention to detail.Understanding of the basic principles of cost control and accounting.
Ability to assess and prioritise tasks.Computer fluency essential with emphasis on MS Office programs.Ability to maintain self-
discipline within a stressful environment.
Experience Minimum 5 years’ experience in project planning or administrative role.Exposure to a complex mining environment highly regarded.
Fluency in English and Spanish required.
