What the role is

The Executive Assistant (Admin Coordinator) works in collaboration with the design team. This position will report directly to the Head of Design and will help to keep updated the developments and initiatives for the Design agenda under its responsibility.

Selina is growing fast and our Admin Coordinator is a key element on this journey.

What you will be doing

  • Manage Head of Design’s diary : beyond scheduling meetings, responsibilities will entitle prioritizing meetings by topic, multi-
  • party and multi-time-zone coordination, ensuring timely completion of schedule, and that participating parties are prepared for the meetings with expected deliverable.

  • Ensure that Head of Design meets deadlines : update calendar with every delivery deadline and schedule meetings and reminders according to the company’s dashboard to ensure on-time goal achievement.
  • Manage Head of Design travel plans : Coordinate all travel arrangements for Design Director as required, through Selina's travel department or independently, and in coordination with local teams to schedule agendas for each visit.
  • Arranges all travels done by the Design department : Is the person in contact with the Selina Travel to request and coordinate all airfares and transportation, as well as visas, and hotel arrangements, for the department
  • Provide Broad Administrative Support : Expense reporting, reimbursement request, meeting minutes;Oversee budgets, check requests and finances as required by the design department;
  • Supports the development of standardization processes.
