Key Responsibilities and Accountabilities :
Sourcing, Procurement and Supplier Performance
Work in collaboration and in alignment with the IFM Sourcing Regional team to : Source, select, contract and manage Tier Two and Tier Three Providers.
Annually develop and maintain a rolling two-year Tier Two Provider sourcing and savings plan
Develop site budgets and forecast according to regional ROB financial.
Accountable to manage all expenses to conclusion and are supported by a Purchase Order.
Ensure Tier2 invoices are correctly prepared and paid on time.
Innovation, Benchmarking and Cost Savings
Develop, seek approvals, and implement plans for continuous service or process improvement, cost reduction and efficiency.
Provide insights and lead change management planning for IFM workplace change projects regarding occupant experiences and requirements based on day to day facilities management.
Client Relationship Management
Map Site’s Key Stakeholders and maintain strategic relationship to understand needs, facilitate decisions and approvals
Ensure and facilitate excellence communications with clients. Ensure communications protocols are correctly followed by the teams
Customer and Employee Experience
Perform a site check in accordance to ROB activities to ensure facilities are well maintained and required services are being performed.
Ensure the implementation of service delivery and standards. Escalate as appropriate to keep high standards and similar customer and employee experience across the region.
Ensure maintenance, operation, cleaning, environmental, plans are timely and properly implemented in all sites assigned.
Guarantee zero incidents occurrence.
Space and Occupancy Management
Work in collaboration with IFM Occupancy Planner on short term (0 -18 months) occupancy solutions per site in alignment with business requirements and Real Estate Portfolio Strategy and Management
Ensure compliance with budget, schedule and scope with no business interruption maximizing end user and client satisfaction, in the project execution below 250K
Responsible of execution and compliance of development plans to direct reports. Maintain 1 : 1 regular meeting to support feedback and skills improvements process.
Ensure performance evaluation is held and supported through the year with a yearly scoring session and closing.
Academic Background :
Bachelor’s degree in Business Administration, Service Administration or related fields.
Desirable : MBA, Hospitality specialization.
5-7 years’ experience in facilities, property management, hospitality or related field; managing both soft and hard services in corporate offices.
Desirable : experience working in technology industry.
Capabilities / Skills :
Highly structured, organized with planning capabilities.
Assertive communicator and with good interpersonal skills.
Experience on developing executive presentations
Knowledge of vendor management for specialized services.
Understanding basic technical aspects of property (Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system). ·
Strong budget management and financial analysis skills. ·
Knowledge of local occupational health and safety requirements. Desirable : Knowledge in Project Management.
