This position, in addition to supporting the administrative / financial functions of the Regional Operations Team, will focus on providing support to the Regional COVID-19 Program Team in the administrative tasks required during the development of projects, such as acquisition of goods / services, contract drafting, organization of cash flow, support of field operations, etc.
ensuring compliance with all internal policies and procedures Under the supervision of the Administration and Finance Manager, the Administration and Finance Coordinator will be responsible for the following functions : COVID-19 Program support :
Assistance in the purchase of goods and services (selection of suppliers, preparation of purchase orders, payments, expense reporting)
Payment monitoring and timely processing for programmatic activities
Receipt and review of invoices, processing of payment orders and payment monitoring for contracted consultants
Management of payments in cash to consultants and others, and reporting of those payments
Facilitation of air ticket reservations and monitoring of billings and payments
Drafting, validation and processing of agreements with the Contracts Department in CHAI s headquarters
Donation processing, including approvals
Organization of meetings, trainings and similar, including logistics and administration
Administrative support to any other programmatic activity, as needed Administration and Finance
Keep a contracts database and the payment flow updated
Register accounting operations in the system
Monitoring of the staff cash flow statement
Support monthly cash forecast preparations
All other functions that are considered necessary in Administration and Finance for the fulfillment of the objectives of the position Requisitos :
Bachelor's degree in Administration, Finance and / or related careers
2 to 3 years of experience in positions related to administrative or financial support
Time management and organization abilities
Ability to preserve confidentiality
Accounting knowledge
Command of computer programs (Microsoft Office : Word, Excel, PowerPoint, Outlook)
Familiarity with accounting software (Quickbooks especially valued)
Fluency in Spanish and English
