Purpose of the Role :

The position of National Finance, Administrative &Logistics Support Project Assistant has to ensure to provide the adequate support and required actions to commit with the finance accountability, logistics administrative needs.

This role will support any required training, information sessions, liaison, guidance and reporting in order to achieve the over-

riding objective. This role is also intended to strengthen PIan International’s commitment to be accountable, open and transparent.

  • Record and maintain control of the annual expenditure of the project, ensuring Plan practices and administrative processes.
  • Provide general support for the financial aspects of the Plan projects management.
  • Work in cooridination with the Project Representative, the finance / administrative of the Regional Office, administrative / finance assistants of the grants of the different countries.
  • Give logistics support for the organization of the meetings, workshops / seminars.
  • Send informations, follow up on confirmations, prepare materials, audiovisual support when necessary
  • None supervisory responsabilities
  • Part of the team : Programming / Influencing
  • Direct Report to Project Representative. Dotted line to Regional Finance Manager
  • Responsabilities :

    1. Ensure the administration and high-quality financial management of the projects under their responsibility

    1.a. Compliance with the administrative and financial processes of the projects under his responsibility

  • Coordination of administrative, financial planning and expenses of the project activities in Panama
  • Review and support that the financial plans are aligned with the administrative and programmatic planning.
  • Expense reporting, budget and accruals support, plays a lead role with administrative and financial processes specific to the project in coordination with Panama admin / finance team.
  • Participate in regular meetings with administration and finance to comply with the spending plans.
  • Maintain constant communication with the Country Representative in Panama
  • 1.b. Ensure compliance with Plan and donor rules in the execution of projects :

  • Monitor that a good accounting record of the projects has been made.
  • Monitoring in the corporate plan planning / monitoring system, the execution of the budgets and processing of the information periodically on the required dates.
  • Verification of financial compliance with the agreements related to the project.
  • Ensure that project files are kept complete and with all supporting information.
  • 1 c Preparation of financial reports, accountability and support for narrative reports

  • Compilation of project information required by donors and National Plan Organization
  • Preparation of monthly, quarterly, semi-annual follow-up and final annual reports
  • Coordination with local administrative / financial assistants to ensure the administrative / financial management and with the technicians of the different project.
  • 2. Support the management of projects with the different areas involved

    3. Ensure the quality logistics support for the national implementation

    Requirements :

  • Bachelor degree on administration, accountability, finance or areas related
  • Knowledge of finance systems, data analysis.
  • Advanced skills on Excel
  • Expertise on finance and administrative management of projects.
  • Fluently in Spanish.
  • Preferred prior work experience in HIV area, and knowledge of national counterparts
