Position Summary : The Practice Manager directs and supervises the day-to-day functions of the Neurosciences Practice (neurosurgery and neurology) in accordance with the philosophy of the Crozer-

Keystone Health System mission to ensure the highest quality of patient care in an economically sound and efficient manner.

The Practice Manager is responsible for the overall operations including routine business and clinical functions. This leadership position administratively manages both the administrative and clinical staff including office administrators, check-

in / check-out, phone receptionists, medical assistants, surgical schedulers, nursing, advanced practitioners and ancillary services to ensure maximum utilization of resources and the efficient delivery of services of the Neurosciences Practice.

Assumes the administrative authority, responsibility and accountability of directing, monitoring, budgeting and providing financial analysis of the activities and programs of the practice.

Practice Manager has responsibility to provide physicians with services to facilitate the practice (call coverage, onboarding and credentialing of physicians, assisting with contract negotiations, etc).

Demonstrates competency in Practice Management Core Areas / MGMA Body of Knowledge (Financial, Human Resources, Business Development)

Operations Management :

  • Directs and manages operations for each practice such as
  • Monitors patient flow through the practice(s) to ensure appropriate utilization of physician time and staff coverage.
  • Monitors or reviews patient registration and data entry into the system for timeliness, accuracy and thoroughness.
  • Develops special work load reports to adjust staffing levels as necessary.
  • Reviews and handles patient complaints.
  • Reviews charges, visit encounters and cash receipts for variations and patterns.
  • Conducts spot audits to ensure compliance with established policies and procedures.
  • Reviews lab and radiology service utilization, physician charges and coding accuracy and capture of charges.
  • Provides physician and staff training as required.
  • Conducts patient and staff surveys and questionnaires.
  • Analyzes average patient waiting time.
  • Directs the operations of the practice, including patient cycle time, appointment scheduling.
  • Consults with team concerning the operation of their practices to assist in eliminating / correcting problem areas, and / or improvement of service.
  • Reports such findings / solutions, either written or orally, to the PA / AD.

  • Interacts with each physician to ensure their practice business needs are met
  • Conducts staff meetings keeping staff informed of any new policies and procedures and / or any changes pertinent to the practice.
  • Maintains documentation / minutes of the meetings.

    Financial Mangemnent :

  • Develops, implements and monitors annual practice(s) operating budget(s) by : Analyzes financial impact of changes in clinical activities.
  • Recommends and implements corrective action as required.

  • Assists in preparation of the capital budget by identifying capital needs for assigned practice and providing price quotes as requested.
  • Oversees the daily / monthly expenditures, staffing and overtime hours.

  • Works with Physicians to identify practice / business development opportunities to increase the practice(s)' market share.
  • Works with PA / AD to develop cost / benefit analyses of new patient care services and equipment to maximize patient revenues

  • Implements revenue cycle initiatives as identified by Revenue Cycle Management Committee. Reports performance with staff and clinicians.
  • Participates in payer meetings as deemed necessary. Meets monthly with each physician / provider to review financial performances and key practice indicators.

    Human Resources Management :

  • Creates and maintains an atmosphere of warmth, personal interest and personal accountability as well as a calm environment throughout the practice.
  • Sets the tone and atmosphere of the practice. Works with physicians to ensure the same.

  • Assures that an adequate number of appropriately trained professionals and personnel are on duty at all times to meet the needs of the patients.
  • Evaluates staffing requirements for the practice and makes recommendations to Primary Care leadership per established procedure and prepares financial justification.
  • Participates as directed by PA / AD in clinician New Hire Process. Interviews clinicians and provides orientation
  • Counsels, disciplines and / or recommends termination of employees as required. Seeks guidance from HR Director and PA / AD as needed for disciplinary actions.
  • Quality Management / Improvement

  • Monitors Physician Dashboard in conjunction with the provider and directs the Care Team to ensure appropriate preventative screening and chronic care services are performed.
  • Ensures documentation in the Performance Improvement Module.

  • Ensures daily huddles occur and are documented for both clinical and business teams.
  • Regulatory Management :

  • Reviews and develops a plan of correction for deficiencies noted during survey inspections and provides a written copy of such plan to the PA / AD.
  • Ensures that billing data is entered accurately, consulting with the Billing Clinicians and / or Compliance regarding diagnosis and procedure codes as needed.
  • Communicate CKHN practice standards, processes, procedures and policies related to focus areas of Privacy, Risk Management and Safety.
  • Assures that staff complies with the requirements.

    Bachelor's Degree in health or business administration is highly preferred. Background / Experience may be substituted.
